BEFORE BOOKING

If you are a future guest interested in renting an apartment with Vanrays, you can book at least 3 days in advance. If you want to make a reservation less than 3 days in advance, please contact us to check availability and expedite the process with our reservations team.

If you wish, you can make a pre-reservation, or a consultation with any questions that may arise. In our frequently asked questions you can find out what a pre-booking is.

If you rent the apartment for more than a month, Vanrays considers it a corporate rental, with a set price per month. In this case, if the client stays for half a month, those single days are applied at the same price as the monthly rate prorated in days.

Supplies (water, electricity and gas) are included in the monthly price, up to a limit. Our representative in charge of welcoming you to the property will take note of the information in your registration process.

Towels and bed linen are provided, with an extra change. There is also a set of amenities for each bathroom and another set of cleaning products (scouring pad, cleaning cloth, garbage bags, tablets for the washing machine and dishwasher). 

The guest can enjoy the additional services such as maintenance, daily cleaning, ironing service and other services. Please feel free to contact our reservations team and we will provide you with more information.

BOOK NOW

To reserve the apartment through our website, you have to enter the dates in our search engine and you will be able to check which apartments are available for your stay. Then, complete the form with your personal information and other information necessary to make the reservation. The price is established per nights of stay in the apartment plus the final cleaning charge. You will proceed to make the payment, with different payment methods (through Paypal or bank transfer).

There is also the possibility of pre-booking 1 apartment for 24 hours, so that the client can consult with friends or family before making the decision.

If you have consulted our team and still have doubts about whether it is the right property for your stay, please do not hesitate to let us know your request. We will do our best, within the availability of the apartment, to arrange a viewing and show you the property.

When you stay with us, you have the possibility of having a driver waiting for you upon your arrival at the airport. Our team will monitor the driver by GPS on his way to the apartment.

If you are traveling with a child under 12 years of age, you must inform them to bring the appropriate seat for the transfer.

Fill out the reservation form that you can find in the services section to tell us more information about your arrival, so we can pass your request on to our driver. You will receive an email with the transport quote that you can confirm immediately.

If there is availability, you can extend the reservation by notifying our reservations team in advance. 

The reduction of the reservation will only be possible if there are more than 30 days left for your arrival and as long as the minimum stay of the property is respected.

If for any reason you wish to cancel your stay, please notify our reservation agents as soon as possible. Depending on how far in advance you notify us of the cancellation, we will refund the following percentage:

 

  • More than 30 days 100%
  • From 15 to 30 days 50%
  • From 0 to 14 days 0%

You have the opportunity to reserve an apartment for 24 hours so you can consult with your friends or family to make the decision. After this period has passed, the dates will be available for any other guest to book the property. Choose the possible apartment for your stay with our reservation agent through our customer service telephone or by email.

We are delighted to be able to work with companies that want to present their product, shoot a film, a photo shoot or any type of event in our apartments. 

Our team will take note of your proposal to communicate it to the owner. Once we have confirmation from the owner, you will be able to hold your event. Please note that this type of rental has a different cost than a conventional rental. 

 

As a general rule, pets are not allowed in our properties. However, you can ask our reservation agents which apartments allow pets.

Parties or events are not allowed in the apartment.

During the night from 11:00 pm to 8:00 am it is NOT allowed:

  • Play music or television at a volume that neighbors can hear or speak too loudly.
  • Walking on the floor in heels or especially noisy shoes.
  • Drag furniture, suitcases or any object that generates a special noise.
 NON-COMPLIANCE OF RULES 
 

Please note that you must abide by the House Rules and regulations detailed above. Failure to comply with any of them, depending on their severity, will be grounds for canceling your reservation under the apartment's cancellation policy; no amount corresponding to the reservation will be refunded.

 

Cancellation will take place immediately upon failure to comply with the rules and will mean that you will have to check out at the time we notify you. 

If upon arrival you detect any problem or anomaly in the apartment, please inform us as soon as possible so we can repair it. Our maintenance team will go to the apartment as soon as possible to solve it. 

Almost all our apartments have a Nespresso coffee machine. In any case, if you want to have an Italian filter or coffee maker, you just have to request it, and our team will do everything possible to facilitate it during your stay.

The rules of coexistence stipulated by the Community of Madrid must be respected in all our apartments. Music cannot be played after 11:00 p.m.

We have a contact telephone number from Monday to Friday from 9:00 a.m. to 6:00 p.m. and Saturdays and Sundays from 12:00 p.m. to 4:00 p.m. We are available during these hours only on our mobile number on weekends, not in the office. Our emergency and contact telephone number is 919 42 68 27.

Our representative in the city will explain to you during the entry process everything you need to know about the house, how each appliance works. If you need help, contact our team. Please note that our maintenance team is available during business hours for any requests and 24 hours for emergency situations.

In all our apartments there are two sets of keys. Remember to leave your keys on the table before you leave.

ARRIVAL

The established check-in time is from 16:00 pm (4 pm) to 20:00 pm (8 pm). 

Arrivals after 8:00 pm have an extra cost of 30 euros.*

Arrivals after 11:00 pm have an extra cost of 50 euros.*

*This amount would be paid in cash upon arrival.

We will do our best to accommodate your needs and, as long as the apartment is available, an early check-in (from 11:30 am) will be possible.

Remember to inform our team as soon as possible of your arrival time. 

Smoking is not allowed inside the apartment.

Parties or events are not allowed in the apartment.

During the night from 11:00 pm to 8:00 am it is NOT allowed:

A Vanrays representative will welcome you to the apartment, explain everything you may need about the house and give you information and recommendations about the area and everything you need.

During the check-in process:

  • It is mandatory to provide the ID or passport of the traveler who made the reservation to comply with local law. 
  • You must sign a reservation formalization contract.

If your stay is longer than one month, members staying at the property will need to bring a copy of:

  • Visa (if applicable for your country of residence)
  • If your stay is for work or educational reasons, you must provide us with a document that justifies these reasons (for example: work contract, invitation to a work seminar, invitation to an educational seminar, university registration, Erasmus accreditation document...).

We can make you a welcome purchase. Simply list to us the items you would like to find when you enter the apartment and our team will ensure they are in the house before your arrival. Ask our team about the cost of this service.

You just have to enter the dates in our search engine and you can check which apartments are available for your stay. You can then fill out the form with your personal information and other information necessary to make the reservation. By doing this you only need to pay through our payment gateway. The price is established per nights of stay in the apartment plus the final cleaning charge.

DURING THE STAY

When leaving the apartment it is not necessary to do any type of cleaning. All our guests have final cleaning included in their reservation.

If your stay is longer than 5 days, our team will leave an additional change of bed and two towels per person in the apartment.

If you wish, you can request another change from our team. This service will have a cost.

Yes, you just have to request the items from our reservation agent and our team will leave the items you want at the apartment. Ask our representative for the cost of this service. The crib includes bedding.

On our website, in the services section you can see the dimensions of each bed in your apartment.

We have a great environmental awareness and we ensure the good use of energy and water in our apartments. Total supplies are included in the total rental cost up to a maximum. From this limit, the costs corresponding to the deposit will be applied.

All our apartments offer free Wi-Fi connection. Please note that the inability to connect to the Wi-Fi network for reasons attributable to the operator is not the fault of Vanrays. In the event of a breakdown, we will try to fix it as soon as possible.

EXIT

The established departure time is 11:00 am

Due to logistical, organizational and cleaning needs, departure time is 11 am. Sometimes, if there are no reservations for the next day, there is the option to leave the apartment later. Otherwise, you can always request to store your luggage in our office. Contact us for schedules and other possibilities.

In the event that there are other guests entering the apartment that same day, you can leave your suitcases in the apartment until 12:00 p.m. If you want to store your suitcases longer, ask our team about this service.

It is not necessary for a member of our team to come to the apartment to check out. Please make sure you do what is explained in the next question.

Please, before leaving the apartment, we would appreciate it if you did the following:

  • Don't forget any personal items
  • Turn off the air conditioning and all lights/appliances in the house.
  • Leave both sets of keys on the dining room table
  • Leave the door closed

We can make you a welcome purchase. Simply list to us the items you would like to find when you enter the apartment and our team will ensure they are in the house before your arrival. Ask our team about the cost of this service.

Please contact us as soon as possible to let us know which item you left behind and where it was located in the apartment. We will be happy to ship your lost item to the address you provide us. Guest must pay shipping costs.

EXTRA SERVICES

Final cleaning of the apartment is included in the reservation. But if you wish, you can contact us for a member of our cleaning team to, on the agreed date and time, clean the apartment and leave a new change of sheets and towels. The cost of this service depends on the apartment, consult the listing of each apartment to know the exact amount.

If our guests wish, they can enjoy the home ironing service. The cost of this service will be €15 plus VAT per hour. The minimum time for this service must be two hours.
